Our philosophy is simple: you shouldn’t have to pay for a vision you haven’t seen. Operating from our Alipore studio, we aim for 100% client satisfaction through technical excellence and 100/100 PageSpeed engineering.

However, we understand that business dynamics change. Whether you are a retail outlet in Gariahat shifting focus or a tech firm in Sector V pivoting your product, this policy outlines exactly how cancellations and refunds are handled. In the digital world of 2026, clarity is the best foundation for a long-term partnership.

1. Cancellation Policy: Pre-Payment Phase

1.1 The Staging Build Cancellation

Since we do not charge an upfront fee for the initial staging build, the “Cancellation” process is straightforward:

• The Right to Withdraw: A Client may cancel their request at any time during the staging phase (while the site is on our private Alipore server) without any financial penalty.
• Asset Retrieval: In the event of a pre-payment cancellation, the Agency retains all rights to the code, design, and logic developed. No files or “Staging Links” will be handed over to the Client.
• Agency’s Right to Cancel: webdesignerkolkata.in reserves the right to cancel a project if the Client fails to provide necessary content/assets within 14 days of the “Booking” date.

2. Refund Policy: Post-Payment Phase

2.1 The “Approval is Final” Rule

Because we use a “Pay After Approval” model, the moment a Client makes a payment, it signifies:

• Approval of Design: The UI/UX meets the Client’s expectations.
• Approval of Performance: The speed and functionality (React/Shopify/WP) are verified.
• Approval of Scope: All features discussed in our Alipore consultation have been delivered.

Therefore, once the “Pay Later” installment is triggered and the files are migrated to the Client’s live server, no refunds will be issued. ### [H3 TAG] 2.2 Exceptions & Partial Refunds Refunds are only considered under the following rare circumstances:

• Technical Non-Delivery: If the Agency is unable to migrate the approved staging site to the Client’s domain due to a technical failure on the Agency’s end.
• Double Payment: In the event of an accidental duplicate transaction through our payment gateways (Razorpay/Cashfree).

3. Subscription & AMC Cancellations

For our clients in Salt Lake, Howrah, and South Kolkata who are on an Annual Maintenance Contract (AMC) or Monthly Maintenance plan (starting at ₹2,000/mo):

• Cancellation Notice: You may cancel your AMC at any time with a 30-day written notice via email to accounts@webdesignerkolkata.in.
• Pro-Rata Refunds: We do not offer pro-rata refunds for the remaining days of a monthly cycle. However, for annual pre-paid plans, a partial refund may be issued for the remaining full months, minus a 15% administrative processing fee.
• Service Termination: Upon cancellation, all maintenance activities (backups, security patches, plugin updates) will cease immediately at the end of the billing cycle.

4. Third-Party Costs & Non-Refundables

Certain costs incurred during the web design process are non-refundable by nature and are paid directly to third-party providers. webdesignerkolkata.in cannot issue refunds for:

• Domain Names: Once a .com or .in domain is registered, it cannot be “un-registered.”
• Premium Assets: Paid stock photos, premium Shopify themes, or specialized React libraries purchased specifically for the Client’s project.
• Hosting Services: If the Client has paid for a server in a third-party data center through our recommendation.

5. Dispute Resolution & The Alipore Jurisdiction

We pride ourselves on being the most transparent Web Designer in Kolkata. If you are unhappy with any part of our service, we invite you to our Alipore office for a face-to-face resolution.

• The Negotiation First Policy: Before seeking a formal refund, the Client agrees to allow the Agency 7 business days to rectify any technical errors or design discrepancies.
• Legal Jurisdiction: Any unresolved disputes regarding refunds or cancellations shall be settled under the exclusive jurisdiction of the courts in Alipore, Kolkata.

6. How to Request a Cancellation or Refund

To ensure your request is tracked and processed:

• Email Us: Send a formal request to support@webdesignerkolkata.in.
• Include Details: Quote your Project ID or Domain Name.
• Reasoning: Briefly explain the reason for cancellation (this helps us improve the “Alipore Standard”).
• Processing Time: Refund requests (where applicable) are processed within 10-14 business days and credited back to the original source of payment.

As the digital economy of West Bengal evolves, we may update this policy. The version live on this page at the time of your “Booking” will be the governing version for your project.
